Board Meeting Min. 061008

Board Meeting

Meeting called to order at 6:00 pm

In attendance: Ron Sutton, Rob Gordon, Dana Vascik, Lana Fry, Chuck Wojick

Absent: Rebecca Saxton

Guests: None

Elections: Since Rebecca Saxton could not attend this meeting, due to a previously scheduled class, we
decided to wait until the July Board meeting to hold election of officers. We did, however,
quickly appoint Chuck Wojick as the 5th Board member. We also discussed with Chuck
the idea of his assuming the position of Treasurer, since Dana is ready to step down. Chuck
agreed. Dana will continue to participate in Board meetings and assist Chuck until he feels
comfortable in his position as Treasurer. Since we want to keep the number of Board Members at “5”,
the plan is for Rebecca to be the 5th Board Member. Dana will not be a “voting” Board Member.

Rules of Ethics: A copy of the SMC “Rules of Ethics” was provided to Chuck (and Rebecca via Chuck) for
their review. The Rules of Ethics will be signed by the new Board of Directors once
elections are held.

Secretary’s Report: Minutes from last meeting approved and posted to the web site. Board Members have 7 days to review and approve Board Meeting Minutes. After 7 days,
Rob is to assume the Minutes are approved and post to the web site.

Treasurer’s/President’s Report:

Collections: 6 homeowners have not paid their 2008 assessments, which were due
January 31st. These 6 homeowners have now been turned over to the attorney for
collection. Final demand letters have gone out with an additional charge of $225
per home (attorney’s fee). If it is necessary to go to court on any of these cases,
there is an additional attorney’s fee of $150 per hour plus court costs, which will be
billed back to the homeowner. Our attorney will file the court papers on June 15th.

Two of the three Judgments from last year have been satisfied (due to the sale of both homes) and we have been paid. We now have one Judgment remaining from 2007.
Old Business:

Community Bulletin Board: Coming soon!!

Landscaping: Rob addressed with our landscaper the high grass around the stormwater
retention pond. The grass has since been cut and looks good. Chuck has volunteered to
remove dead trees/shrubs for us. In the fall, we will replant. Rob to request copy of
landscaping contract from our landscaper for our files.

Signs: Dana was advised by the manufacturer to use dilute Simple Green to remove the
black spray painted graffiti from one of our new stone walls. Unfortunately, it did not remove
the paint and we will have to pursue other remedies.

New Business:
None.

Meeting adjourned at 8:00 p.m.

Next meeting: Tuesday, July 8, 2008 at 7:00 p.m. at 115 N. Broad St., 2nd Floor, Middletown.
