OPEN SESSION MINUTES


PRESENT
Robert Pittman, President

CALL TO ORDER
Mr. Pittman called the meeting to order at 6:05 p.m.

HOMEOWNER FORUM
There were 3 homeowners present. There was a question about an unpainted house. Mr. Pittman replied that the Board could not get into specifics.

REVIEW AND APPROVE MINUTES
Minutes of the August 24, 2005 meeting were reviewed. There was a correction made. MOTION for approval by Ms. Steele; second Mr. Radig. Minutes were APPROVED.

REVIEW AND APPROVE FINANCIALS
The financial records for August 2005 were reviewed. The Board questioned the office supplies and postage distributions on August 31. Both invoices indicate they were for ?“copies/postage?”. The Board questioned why postage would be in both accounts. Mr. Breinig will get a better breakdown of fees. The Board also questioned the payment to Lang & Baker. The Board does not believe it was approved to pay. Mr. Breinig will check his files for the approval. MOTION for approval by Ms. Thomas; second Ms. Steele. Financials were APPROVED.

OFFICER REPORTS

Ms. Steele reported that the October 26 meeting would be held at the Peoria Community Center at 6:00pm. The November 16 meeting would be at the library.

Ms. Thomas reported that there are gophers in the City?’s Roundtree Ranch Park. She has contacted the City.

OLD BUSINESS

There is graffiti on the walls on 79th Ave. Mr. Breinig will contact the City?’s graffiti hotline for assistance.

The land at the end of Hatcher and 82nd belongs to RRHOA and Pine Crest to the north of RRHOA. Mr. Breinig will contact Pine Crest HOA. RRHOA would split the cost of a barrier at the end of Hatcher.

Carescape reported that they have completed the crown thinning on all the trees in the common areas. However, per the contract Carescape is to provide a map of all trees and a walk through with the landscape committee before payment will be approved.

Mr. Pittman reported that he has not been able to meet with Councilwoman Hunt.

NEW BUSINESS

Mr. Pittman noticed several street lights were burnt out. He has contacted the City. The City should have them fixed within 10 days.

Ms. Steele had an addition to the policy book. City Property Management is to notify the Board immediately by e-mail every time homeowner mail is returned undelivered.

Mr. Pittman reported that the Board has started night inspections. The first inspection found 20 parking violations.

In the August meeting a homeowner suggested that the landscapers might pickup homeowner yard waste on a monthly basis. Mr. Pittman suggested that instead of Carescape another landscaper could be given a contract to pick up the yard waste. Discussion was held. It was decided that the Board would post the name and number of an independent contractor on the bulletin board that homeowners could call and negotiate the pickup of yard waste individually.

The Prize Drawing was held. Lots 87, 8, and 51 were chosen. None of these homeowners were present. The prize will be $250 in October.
