Board of Directors Meeting
June 5, 2003

Kevin Lindahl called the meeting to order at 7:05pm.

Roll was taken and board members present were: Kevin Lindahl, Alan Byrne, Ed Knudsen and Kathy Gautsch

The minutes of the April 21 meeting were approved as circulated.

Reports of Officers

Walkways ?– Alan Byrne reported that 3 bids were submitted through the engineer and the walkway committee recommends the lowest bid from Flores-Hager and Associates. The bid was for $54,338.00 and it was recommended that a 15% contingency of $8,150.70 be put in place for any issues that may arise once the old surface is removed. The engineer cost to oversee the project is $4,000. After deducting the $20,000 we have allotted to this project, the total comes to $46,448.70 or $1935.33 per owner.

There will be a 4-day period of time when owners will not be able to come out of or go into units. A two-week notice will be given for each floor so owners can plan accordingly. The entire job will take 30-45 days to complete.

As a reminder to owners, the walkways must be replaced to protect the integrity of the building. Pooling is a big concern as well as lifting of the current finish. Although the new surface will improve the pooling, it will not totally correct it.

Flores-Hager will prepare four samples of various colors and combinations of colors to blend with the building. Owners will have input/approval at that time.

A motion was made and passed to accept the proposal by Flores-Hager & Associates. They estimate starting the job approximately 15 days after receiving permits from the town of Ponce Inlet. Estimated date is July 15.

Roof Door ?– Per Ed Knudsen, R & R Roofing reported that the roof door manufacturer sent a representative from Lima, Ohio to take photos of the door with the rust on the door, screws, etc. At that time they indicated to R & R that they would replace the entire roof door, however, R & R hasn?’t officially heard from the manufacturer to date.

Windows ?– Allen Green is waiting for a response from his insurance company to see if he can recover any costs for replacing the windows. Apparently he wants to move ahead although the court case is still pending.


Cabinets ?– The replacement cabinets are in and a schedule will be developed by Al Chubb and Allen Green to replace and/or repair delaminated cabinets. All owners affected will be notified of the schedule as soon as it is available.

Cleaning Schedule ?– Kathy Gautsch and Esther Berry have reorganized Ray?’s schedule. The schedule is organized on a 4-week rotation basis to cover daily, weekly and monthly projects to be completed, however, Ray will be given a daily schedule. Kathy and Esther will do a walk-through on Fridays to verify completion of work.

Front Door Code ?– A new code will be programmed into the front door and owners will be notified immediately when it is completed

Miscellaneous Projects ?– John Zadel has repaired the showers at the pool; it has been decided that a new sign is not needed at the pool; the exhaust fan in the garage has been replaced; the TV has been hung in the gym; laminated copy of selected rules was distributed to all owners; flower arrangement has been replaced in lobby; updated owners list to include email addresses was distributed

Unfinished Business

Air Conditioning Unit for elevator/electrical room ?– Kevin Lindahl and Janine Dowlen will follow up on getting this unit installed. This was approved by the prior board but has not been installed It is important to keep this room cool in order to protect the equipment.

New Business

Wheat International Communications?’ offer ?– Kevin Lindahl advised that this offer is still pending because the town of Ponce Inlet wants a $1050 application fee to decide if we need a zoning variance to put up the dish. Wheat will mount the dish on our roof and pay us $300 per month. Wheat will let us know when the issue is resolved.

Michael Short, unit 703, would like to mount a weather station on the wooden beams that hold our hoses on the roof. Nothing will be seen from ground level. The instruments are wireless, solar powered and will require not maintenance or adjustment. He is looking into developing a website that we could all log onto to see wind speed, direction, rainfall, temperature, humidity, etc.

The board passed a motion to allow the installation of the weather station with the understanding that if any issues or problems arise Michael will take it down.

Frequently Asked Questions ?– The board is currently updating the Frequently Asked Questions for the Martinique Condominium, Inc. and will keep them on file. A copy will be forwarded to each unit owner.


Committee Assignments ?– Kevin asked committees to select a chairman for each committee and advise him. Committee members are:
Insurance & Finance ?– Lloyd Graham and Alan Byrne
Maintenance & Grounds ?– John Zadel, Tony Gautsch, Ed Knudsen, Vaughn & Jackie Freeman, Connie Graham
Entertainment ?– Murph Zadel, Esther Berry, Lois Lindahl, Connie Graham, Alan Byrne, Ann Knudsen
Cleaning ?– Esther Berry, Kathy Gautsch

Turtle Lighting ?– Turtle season is from May 1 to October 31. The parking lot lights and lights around the pool have been brought into compliance. The pool light will remain on for safety purposes. Unit owners are reminded to use blinds and be aware of balcony lights, etc. to avoid fines

Pool and Spa Temperatures ?– Kevin Lindahl reminds us that it is critical to stay in compliance with the specified temperature in the spa and asks owners not to tamper with the temperature. Lately the spa temperature has been higher than recommended temperature and therefore is dangerous.

Palm Tree Replacement ?– There are five dead palm trees in front of the building. Our lawn service suspects works.

A motion was passed to have the Maintenance & Grounds committee: 1. Contact Dave?’s Pest Control to inspect and advise us about saving the rest of the trees. 2. Get quotes on replacing the trees as well as investigate other alternatives to replacing all five trees.

Elevator Pads ?– two additional elevator pads have been ordered from Otis and should be arriving soon. They will be kept in the clubroom closet with the other two pads. Owners are asked to use the pads to avoid scratching the stainless steel and sides of elevators whenever moving large items in or out of the building.

Board Spending Limit ?– a motion was passed to maintain the $500 spending limit set for the prior board with approval from other board members.

Door Sweeps ?– some of the door sweeps are not operating well. We will try to trim them to see if that helps prior to replacing.

Dune Walkway ?– To avoid additional deterioration, the walkway needs to be refinished and nails repaired where they have lifted up. The Maintenance & Grounds committee will check into various finishes and costs to determine what will hold up best under beach conditions.

July 4 ?– There will be a party July 4th at 4:30 so plan to attend

East Wall ?– the east wall of the building will be painted by owners on Sat. June 7. The wall outside the pool restrooms will also be painted at that time.
Potential Water Damage ?– Unit owners are reminded they must turn off water and water heater when leaving your unit. The Antigua recently had major damage from a pipe breaking and leaking into units below.

Balcony Furniture ?– During hurricane season, unit owners are required to remove balcony furniture if they are gone for 2 days or more.

A motion was passed to adjourn the meeting at 8:30.
