June '99 Monthly Meeting Minutes

GROVES OF GILBERT
BOARD OF DIRECTOR'S MEETING
June 1, 1999

Location: The Lewis residence, 198 North Riata

The following association members were in attendance: Ray and Shari Lewis, Shary Oliver, Marion Marshall, Carolyn Helm, Sandy and John Browne, Troy Harrison, and Abby McNeil.

The Homeowner's Association meeting was called to order by Association President Shari Lewis at 7:25 p.m.

Deed Restriction Committee Report - Lot 63 has not yet submitted a landscaping plan and the CC&R Committee was not available to advise if the homeowner had been contacted on the matter.

Tree Committee Report - Tree walk reports will be distributed this week.

Green's Committee Report - Representative not available.

CC&R Committee Report - Representative not available. There was concern that the CC&R's are not being enforced on a consistent basis. Several incidences were sited. The quarterly newsletter will contain information associated with upholding the CC&R's.

May Minutes - Read and approved as written.

Old Business -
· Groves of Gilbert Mission Statement - A draft mission statement was presented to the board. John Browne will provide Shari with a brief description of the process required to finalize the mission statement.
· Neighborhood Safety Committee - Representative not available.
· Web-Site Update - Shari is working with the City of Gilbert to gain support in maintaining the Web-site. The site would contain information such as our P.O. Box number, most recent newsletter, officers and contact instructions, Groves map with street names & lot numbers, and a hot link to the Gilbert site.
· The front entry is still in need of repair and paint. Shari will contact Alan Fitzgerald to see if he has been able to obtain estimates to get the work done.
· The beehive in the front entry has been removed and the opening was sealed.

New Business -
· No new business to report.

Management Alternative Committee Report - Abby McNeil provided the results of her research for contracting with a management company. She gave an overview of several companies that would potentially meet our needs. On Thursday, June 10th at 7:00 p.m., Abby, Shari Lewis, John Browne, Carolyn Helm and Ron Lloyd will meet to prepare comparative analysis on the various companies. Then on Thursday, June 17th at 7:00 p.m. the group will meet with representatives of the companies in order to prepare a recommendation for the board.

Treasurer's Report - Five homeowners have not yet paid their annual due. Troy has sent them letters indicating their delinquency. Liens will be placed against the property for those who have not paid by June 15. This will also be addressed in the quarterly newsletter. The financial report was reviewed and accepted as written.

Meeting adjourned at 8:25 p.m.
