Trustee meeting minutes 9/20/04

.
CHEVINGTON WOODS CIVIC ASSOCIATION
MINUTES OF TRUSTEES MEETING
September 20, 2004

Meeting site: Violet Twp Offices, 12970 Rustic Drive, Pickerington, OH 43147

President Comanita called the meeting to order at 7:06 p.m.

The presiding officer ascertained the presence of a quorum with nine (9) trustees in attendance:

Carol Comanita, President
Don Roeder, Vice President
Mark Briggs, Treasurer
Will Snell, Secretary
Julie Squier
Janet Price
Teresa Hartley
Rachael Hintz
Lisa Ross

Reading of the minutes: The Chair noted the minutes of the August 16, 2004 regular meeting had been previously distributed via email to the trustees and advised, that if there were no objections, the minutes could be approved as distributed. Trustee Hartley moved to waive the reading of the minutes; the motion was duly seconded and passed without dissent.

Officer vacancies: President Comanita noted that Treasurer Roeder had submitted his resignation the previous meeting and that Vice President Briggs had offered to resign and take over the duties of Treasurer. She added that she was also accepting the resignation of Trustee Briggs as Vice President and, accordingly, two officer vacancies now existed. President Comanita noted the CWCA Bylaws were not clear on the filling of these vacancies and she was calling for an election of two officers by the Trustees assembled, which was clearly in conformance with the CWCA Bylaws.

Election of Treasurer: The Chair called for nominations and Trustee Briggs was nominated for the office of Treasurer. The Chair called for further nominations and, hearing none, declared Trustee Briggs elected as Treasurer by acclamation.

Election of Vice President: The Chair called for nominations and Trustee Roeder was nominated for the office of Vice President. The Chair called for further nominations and, hearing none, declared Trustee Roeder elected as Vice President by acclamation.

Correspondence: Trustee Squier, Chairman of the Yard of the Month Committee, reported that she had received a very nice thank you note from the Soltis family expressing their appreciation for the Award and an endorsement of the program because it has promoted an interest among the residents of Chevington Woods to contribute to the aesthetic quality of the neighborhood.

Treasurer’s Report: There was no Treasurer’s report since the CWCA financial records are currently being audited prior to the newly elected Treasurer assuming the duties of Treasurer.

Reports of Standing Committees:

Deed Restriction Committee:

Chairman Comanita reported on the progress to date. Since the Trustees comprising the Committee were present it was discussed and agreed the Committee would again meet on September 27, 2004 to continue their review of deed restriction issues.

Unfinished Business:

Cemetery: Trustee Hartley reported on the work to date in the restoration of the cemetery on Carriage Lane. Grass has been planted and other general clean up work performed. However, there is still work to do. Other Trustees pledged to help in the continuing effort to restore this historic cemetery.

Chesington Court – South Reserve Walkway - Trustee Hartley also reported that she and members of her family had rid the walkway from Chesington Court to the South Reserve of weeds and trash. She also mentioned a low hanging branch that will be considered for removal.

North Reserve – Trustee Briggs reported that he and Trustee Snell were committed to installing trash containers and a picnic table at the North Reserve. However, due to time constraints, since both are employed full time, this volunteer work would be done as time permits. Trustee Roeder also reported that he was still collecting information on playground equipment to be installed in the spring of 2005.

New Business: President Comanita noted that vandalism was on the increase in the Chevington Woods community. As an example, she reported that a neighbor’s vinyl mailbox had been set afire and other acts of vandalism had occurred. She stressed the need for adequate street and driveway lighting as well as individual homeowner security lights. It was a consensus of opinion among the Trustees assembled that neighbors helping neighbors was what made Chevington Woods such a great place to live. Accordingly, the fourth quarter Newsletter should

include a reminder to insure that all driveway lights and streetlights are working properly to serve as a deterrent against vandalism.

It was also noted that residents and visitors do not obey the posted speed limit of 25 mph in the community. During the ensuing discussion, in an attempt to find a solution to this serious problem, it was the consensus of opinion among the Trustees assembled that there were more adults violating the speed limit than teenagers. It was agreed the issue of “excessive speed” should also be addressed in the fourth quarter newsletter.

The Chair called for any other business to come before the Trustees assembled. Hearing none, the Chair recognized a motion from Trustee Squier to adjourn. The motion was duly seconded and passed without dissent.

The meeting was adjourned at 9:25 p.m.

Respectfully submitted,
