CHEVINGTON WOODS CIVIC ASSOCIATION
MINUTES OF TRUSTEES MEETING
May 16, 2005

Meeting site: Violet Twp Offices, 12970 Rustic Drive, Pickerington, OH 43147

President Comanita called the meeting to order at 7:05 p.m.

The presiding officer ascertained the presence of a quorum with seven (7) trustees in attendance:

Reading of the minutes: The Chair noted the minutes of the April 18, 2005 regular meeting had been previously distributed via email to the trustees and advised, that if there were no objections, the minutes could be approved as distributed. Thereafter, Trustee Squier moved the minutes be approved as previously distributed. The motion was duly seconded and passed without dissent.

Correspondence: The Secretary noted email correspondence had been received in regard to what appeared to be a puppy mill on Copperfield Lane. He noted that he had also received verbal complaints from residents on Stonehenge Circle about the incessant barking of dogs from the residence on Copperfield Lane. The Secretary reported to the Trustees assembled that he had contacted various Twp and County agencies to eventually be directed to the Humane Society. Subsequently, he received a report from the Humane Society that there were a number of dogs housed at the residence but they were all cared for and there was no basis for the Humane Society to intervene. The Human Society advised that if barking dogs continued to be a problem the matter should be turned over to the Fairfield County Sheriff.

Treasurer’s Report: Treasurer Briggs reported that he had received payments from 227 residents to date totaling $7,580 that had been deposited in the CWCA banking accounts.

Reports of Standing Committees:

Deed Restriction Committee: DRC Secretary Snell reported that legal counsel had suggested minor changes in the deed restriction “dialogue” letter previously approved by the Trustees and those changes would be made and the letters would be mailed shortly as instructed by the Trustees. The minor changes were noted and it was the consensus of opinion that the Trustees should follow advice of counsel.

He also noted that a listing of all deed restriction violations reported had been furnished to the Trustees via email and requested any corrections or additions that should be made prior to mailing of the letter to the residents listed. Following a discussion by the Trustees assembled it was the consensus of opinion that that the list covered deed restriction issues to date and the letters should be mailed as listed on the report.

Unfinished Business:

Entrance signs – The Trustees discussed various solutions to obtaining generic entrance signs for the advertisement of Trustee meetings, the Annual CWCA Meeting, annual garage sale, Easter egg hunt and etc. and it was the consensus of opinion that the Trustees keep looking for a convenient but economical resolution of the Trustees’ desire to post signs at the entrances to keep the residents of Chevington Woods apprised of the various neighborhood events.

North Reserve: Trustee Briggs noted that he would arrange for Davey Tree to chip the ice storm damage debris that had been placed in the parking area as previously approved by the Trustees. It was noted that Trustee Briggs had voluntarily spent some time at the North Reserve cleaning up the tree limbs damaged by the ice storm and placing the debris in the parking area.

The Trustees then discussed the need for weed control at the N. Reserve. Thereafter, Trustees Briggs and Snell volunteered to obtain the supplies needed to control the weeds and fertilize in the playground area as well as the cemetery and lawn in front of the cemetery. Resident Tom Besser volunteered to apply the “weed and feed” to the lawn in front of the cemetery. The Trustees expressed their appreciation for his volunteer service.

During the discussion of improvements to the North Reserve it was noted that picnic tables suitable for the North Reserve were currently on sale at both Lowes and Home Depot. Trustee Briggs volunteered to check out the feasibility of purchasing the picnic tables for installation during the annual N. Reserve clean up day.

North Reserve Continued -

During the discussion of improvements to the North Reserve it was noted that regardless of how much CWCA dues money was spent the residents of Chevington Woods could not enjoy the playground and park area if it was littered with dog feces and if dogs roaming free chased the residents out of the area.

Various Trustees noted complaints they had received or had personally experienced. All of the complaints involved large dogs entering the N. Reserve from Lot No. 29. It was the consensus of opinion among the Trustees that the owners of Lot No. 29 be sent a letter from the CWCA advising that this was a serious problem and the dogs should be kept under control via a leash when entering the N. Reserve and further, that appropriate clean up should be performed when leaving the N. Reserve.


New Business:

President Comanita noted that Greg Fown had volunteered to serve as a Trustee for CWCA Area 7. She welcomed Greg to the meeting and commented upon his desire to be of service to his fellow residents of Chevington Woods. President Comanita then appointed Greg Fown to serve as Trustee for CWCA Area 7. Trustee Snell moved the appointment be approved; the motion was duly seconded and passed without dissent.

The Chair then called for any other business to come before the Trustees assembled. Hearing none, the Chair recognized a motion from Trustee Squier to adjourn. The motion was duly seconded and passed without dissent.

Meeting adjourned at 8:45 p.m.
