April 1, 2008 Board Meeting

PG Board of Directors Meeting

The meeting was called the order by Ben Lampton. Board members present were Erin Hazlewood, Peggy Sullivan, Nancy Chaplin, Ben Lampton, and also present was Dan Rapp of Ky Realty.

The Annual meeting was called to order. As a quorum was not present, Nancy moved to recess the meeting until the May 6 monthly meeting. Erin seconded. Approved.

The March meeting minutes were distributed and after two small corrections, Erin moved to approve the minutes.
Peggy seconded. Approved.

Erin presented the Treasurer’s report:
1) There is approximately $1350 being transferred monthly from the regular checking account into the reserve account.
2) The snow removal bill was discussed and verified as correct.
3) Units in arrears include:
#13638 - a lien has been filed
#13512 - need to send late payment notice
#13613 - a lien has been filed
#13539 and #3407 - Erin moved to file a lien on these units if full payment is not received by April 15. Nancy seconded. Approved.
#13527 - Bills of $140, $525, and $1130.79 are outstanding for plumbing repairs. Dan reported one of the plumbing problems was found inside the wall and it was repaired. That portion is the responsibility of PG. Another letter will be sent to the owner for payment to be received by May 1. If not, lien will be filed.
#3414 and #13634 - have been cited for trash can violations and will have $25 added to their accounts.
Nancy moved to accept the treasurer’s report as read. Peggy seconded. Approved.

OLD BUSINESS:

1. Coit contract for dryer vent cleaning was reviewed. The schedule included in the contract will be changed to dates of April 12, April 19, and April 26 with a final alternate date of May 10th. Dan will send a letter with instructions and stating this is mandatory. If dates are not acceptable, unit owners will have to contact Coit to make arrangements and it may include personal costs.

2. New signs were picked up today and new poles and signs should go up this next week.

3. Since we changed insurance companies, some unit owner’s mortgage companies have sent letters regarding insurance cancellation. Dan will get a copy of PG Certificate of Insurance and include a copy with the dryer vent cleaning letter in case others have this problem.

4. Plants/trees are to be planted by the telephone maintenance building and some flowers will be planted at the front entrance.

Nancy moved and Peggy seconded to adjourn the meeting.
